Scanner buying guide

Things to consider when choosing your scanner:

  • Are you likely to increase the throughput in the coming months / years?
    Often it's better to buy a machine capable of scanning higher quantities than you initially require as there's a good chance you'll find more and more to scan.
  • Do you have a backlog of paper to scan?
    Again, buying a scanner that is capable of doing a few hundred sheets per day is fine when in general use, but if you intend to scan thousands at first, the scanner may not be up to it. If you're unsure, please contact us and we can advise.
  • Types of document to be scanned
    If you need to be able to scan unusual items, such as tachographs or passports, your choices may be limited. If you only need to scan 100 pages per day, but some are A3, you will have to spend a lot more on a scanner. We recommend in this case looking at ways to scan the A3 without the expense. Some of the A4 scanners offer a "folio-mode" which enables you to fold the A3 sheet in half and scan it - the software then intelligently pieces together the two images giving you one on the screen.
  • Scanning over a network
    There are only a handful of scanners which enable full network scanning directly from the unit itself. You can scan into a network folder using any of the scanners, or you can make a scanner available on several workstations by adding a Silex SX-2000U2.
  • How much to spend?
    Like anything, buying the cheapest scanner and over-using it will cost you more in the long run. It's important that you find a balance between a sensible cost and a scanner which will do what you need with a little room for increased use. Below are our recommendations for each category which should give you an idea on what to spend...
Home / small office use
Kodak ScanMate i1120Kodak ScanMate i1120 - Only £307.00 (ex VAT)
A great little 20 pages per minute scanner from Kodak. Includes PaperPort software to manage your files and OmniPage to convert images into editable documents. Unlike perhaps its closest rival, the Fujitsu Scansnap S510, the Kodak ScanMate also includes TWAIN drivers which allows it to be connected directly into almost any other document management software application. Best of all, 3 years next day swap out warranty is included!
Light office use
Fujitsu Fi-6130Fujitsu Fi-6130 - Only £548.00 (ex VAT)
Following the huge success of the Fi-4120C and Fi-5120C, the Fujitsu Fi-6130 is the latest model in this sector. It offers considerably improved scanning speed - 10 pages per minute quicker than its predecessor, scanning at 40ppm compared with 30ppm on the Fi-5120C. Full version Adobe Acrobat is included as well as Kofax VRS Pro - probably the very best image enhancement software available.
Medium office use
Panasonic KVS2048CPanasonic KVS2048C - Only £1,445.00 (ex VAT)
Robust, quality A4 scanner with all the software you'd hope for. The RTIV software has all sorts of features similar to VRS and will create PDF files. Panasonic say its good for over 4,000 scans per day, which is an awful lot for under £1,500 - although if you need to do 4,000 scans per day go for a higher spec'd machine.
Heavy office use
Canon DR-9050CCanon DR-9050C - Only £5,356.00 (ex VAT)
Quite simply there is no other product that will scan at 90 pages per minute for around 5k. Combine this with a 500 sheet capacity feeder and the DR-9050C is a real workhorse capable of up to 10,000 scans per day.
Very heavy commercial use
Kodak i620Kodak i620 - Only £12,574.00 (ex VAT)
If you're in the market for a very high production scanner, the Kodak i620 is renowned for offering superb feeding quality and huge throughput capabilities - up to 60,000 documents per day. Whilst other manufacturers such as Panasonic, Bowe Bell + Howell and Fujitsu also offer high production scanners, the Kodak i600 range tends to out-perform the competition on value and performance.
